Client Support/IFA Administrator, Cambridge (NT-2025)

£25000 - £33000 plus excellent benefits

An outstanding, Chartered firm of Financial Planners who have been providing financial advice to private and corporate clients for more than 30 years.

Directly authorised with their own in-house investment offering, the firm have an outstanding repuration within the industry and now look after north of £650m in assets under management.

This is a hugely important role in delivering client support, working closely with the Paraplanning team and Financial Advisers.

Role

  • Administration and new business processing for Wrap platform and non-platform clients
  • Provide client administrative support to the Cambridge team.
  • Handle client queries and help service existing clients.
  • Deal with platforms and product providers to obtain information about existing and potential investments.
  • Develop and maintain a sound working knowledge of Wrap platforms.
  • Assist with the facilitation of the Client Review Process
  • Prepare Your Portfolio Summaries for clients.
  • Prepare and issue Income Drawdown Reviews
  • Obtain quotations / Key Features Documents / fund information for Wrap and non-Wrap business on an ad-hoc basis.
  • Assist in the rebalance process.
  • Meet and greet clients and answer incoming telephone calls.
  • Maintain Intelliflo client records.
  • Maintain appropriate CPD to meet CII, Chartered Corporate and company requirements.

Main responsibilities

  • Receive work from Head of Administration and ensure requirements and timescales are understood and met.
  • Liaise with Client Administration Team to understand clients' goals, needs, objectives and circumstances and assist team members as necessary.
  • Attend weekly Client Administration Team meetings.
  • Answer incoming telephone calls and refer to Head of Client Administration when necessary.
  • Answer door entry intercom and meet clients.
  • Open and distribute incoming post and provide cover for outgoing post when required.
  • Administer clients' portfolios using third wrap party providers such as abrdn, Wealthtime, Transact and Quilter, including input and maintenance of accounts and rebalances.
  • Process SmartSearch anti-money laundering, PEP and sanctions checks.
  • Process all aspects of new business to ensure a client's recommendation is fully implemented by liaising with insurers, clients and team, and ensure client records, paperwork and New Business Checklists are completed accurately and compliantly in line with New Business Checking Guide.
  • Process daily client transactions such as withdrawals, accounts closures and switched and complete Client Instruction Forms in line with Admin Guide.
  • Deal with deceased cases and action points from Client Review Process as required
  • Issue client policy documentation promptly.
  • Liaise with product providers to obtain information about existing and potential investments for clients and process letters of authority.
  • Obtain quotations / Key Features Documents / fund information.
  • Prepare meeting packs for new clients.
  • Prepare Your Portfolio Summary packs and meeting packs for the Client Review Process.
  • Prepare Income Drawdown Reviews for the Client Review Process.
  • Arrange production and issue of client reports.
  • Action Letters of Authority.
  • Input client fact find and policy information onto Intelliflo accurately in line with processes.
  • Manage and prioritise Intelliflo tasks effectively.
  • Handle client queries and service existing clients as required and identify when an enquiry should be referred to another team member.
  • Develop and maintain up to date knowledge of industry developments, regulations and legislation.
  • Complete Financial Assess training items allocated within timescales set.
  • Ensure CPD requirement is met and recorded on the Financial Assess CPD record.
  • Comply with company Code of Ethics, committing to carrying out business in an ethical way by treating customers fairly and providing clients with the service that we have promised them.
